Below are the steps for creating an approval workflow in SharePoint Designer:
- Open SharePoint Designer and SharePoint Site.
- Click on Workflows option in the left Panel.
- Click on List Workflow from the ribbon in top and select the “Vacation Request” List.

Approve or reject an item or a file
- Navigate to the library or list where the Pending item or file is located.
- Select the item or items and select Approve/Reject from the command bar.
- In the Approve/Reject options for Approval Status, select Approved or Rejected.
View the workflow status
Point to the document or item that is involved in the workflow, click the arrow that appears, and then click Workflows. Under Running Workflows, click the name of the workflow for which you want to view the status. On the Workflow Status page, view the information about the workflow.With Microsoft SharePoint Designer 2010, you can design no-code workflow solutions that manage simple to more complex business processes in an organization. Workflows add logic to both system and human processes. Workflows for system processes might update one data source when another data source changes.
Approval Workflows are a sequence of steps wherein selected Approvers can either mark their approval or make edits to a policy while it pends for approval. All policies start in a draft format and pend for approval through an Approval Workflow.
Start a Workflow Manually in SharePoint
- Open the SharePoint list or library.
- Select an item in the list or library.
- Click the ellipses ( ) icon for the Item to open the context menu and then select K2 Workflows.
- On the Start Workflow page, select the workflow you want to run from the drop down-down.
- Click Start to run the workflow.

The problem with SharePoint is that it's a file management system, not a document management system. While SharePoint may be good for companies with a minimal amount of documents, it's a vastly inferior platform for larger companies with more documents on their plate.
When you delete an item from a SharePoint document library or list, it isn't immediately removed from SharePoint. Deleted items go into the site recycle bin for a period of time. During that time, you can restore the items you deleted to their original location.
Just like many other offerings from Microsoft, Flow is a new app that is part of Office 365 suite. It is included in most of Office 365 subscriptions and can be accessed via Office 365 app launcher. It allows you to automate business processes by building workflows based on certain triggers and actions.
There are five commonly used Workflows that can be set up within SharePoint: Approval Workflows, Status Workflows, Notification Workflows, Automation Workflows, and Custom Workflows.
Workflow Logic allows you to route your form forward or backward in your workflow process based on how the form is filled out and completed. For example if you have a workflow for employee reviews. If the employee is granted a pay raise by their manager the form needs to go to the HR team for approval.
Workflows help people to collaborate on documents and to manage project tasks by implementing business processes on documents and items in a SharePoint site. This enables the people who perform these tasks to concentrate on performing the work rather than managing the workflow.
Package a workflow
- Open an existing workflow, or develop a new workflow, in SharePoint Designer 2013.
- On the Workflow Settings tab in the ribbon, click the Save as Template button in the Manage section as shown in the figure. Figure: Save workflow as template.
The Three-state workflow supports business processes that require organizations to track the status of an issue or item through three states and two transitions between the states. With each transition between states, the workflow assigns a task to a person and sends that person an email alert about the task.
SharePoint Designer 2013 can be used to create and customize sites and solutions that contain application logic but don't' require writing code. You can use it to add and modify data sources, customize list and data views, build and deploy business workflows, design a corporate brand, and much more.
